Ten days before the shoot
You need a production coordinator, two PAs and a social editor. Yesterday.
Your agency just landed a three-day branded shoot for a client launch. The posting went up on Thursday, and by Sunday there are 140 applicants. Every cover letter says they're passionate about storytelling. You can't tell from the page who stays organized when the call sheet changes at midnight.
Your usual crew list was already booked on a car commercial. So you start phoning applicants between location scouts. You catch four of them. One is great but already holding dates for another project. The producer keeps asking when the crew list will be final.
The client's brand team wants every name on the call sheet by Friday for their insurance paperwork. Right now the coordinator line still reads "TBD."
